Position Summary:

The primary assistant to the Corporate Controller, Directors and Managers of Corporate Finance and Payroll.

Responsible for various finance department functions. Extensive meeting scheduling for VP Controller, all directors and managers in the department. Maintains and assists with regulatory filings. Assists the CFO with information and tasks related to the Finance department. Serves as recorder for Investment and Finance Board Committee meetings. Prepares financial reports and presentations for Board Committee meetings. Co-responsible for compiling and distributing Board Committee presentation packets and for preparations for meetings, e.g. room scheduling, ensuring room equipment set with presentations and catering. Assists the Executive assistants as needed. Serves in key position for event planning for the department.
Responsibilities:

Process extensive calendar scheduling and support for all directors and managers in the department
Process Board Members Compensation Quarterly
Register or Renew Fictitious Names for the Company
Set-up and/or update Vendors for AP
Review Checks Weekly for AP
Administer gift cards and submit gift card log to Payroll
Assist with Audit and Tax PBC lists
Responsible party for the Corporate Finance Policies
Initiate investment transactions and transfer money from the investment Accounts to our compass bank account
Work closely with our portfolio managers and banks to ensure forms, wires, etc. are handled properly
Compute monthly investment return analysis and update summary data for the Investment Chairperson
Initiate the payment of investment management fees
Serve as a back-up for the Purchase Card program
Purchase office supplies and administer IT equipment for the department
Make internal annual budget book for executives
Pay/Renew local business tax receipts for the company
Reconcile monthly expense report for individual purchase card and serve as the proxy for the controller
Prepare presentations as needed for the Finance and Investment Committees, Leadership and Management meetings. Transcribe legal minutes for each Committee meeting and have it signed by the Chairperson.
Assist the Executive administrative assistant to the CEO and CFO with all requests.
Maintain all tax exemptions for the company.
File Florida Annual Reports for all entities on Sunbiz
Qualifications:

High School Diploma
5 years of Administrative Assistant Experience working in a Finance Department preferred
MS Office Suite proficient(Outlook, Excel, Power Point)
Must be able to multi task.
Experience with supply ordering and filling requests day to day.
Professional customer service skills required.
