Job Description:
POSITION SUMMARY The Assistant Director is part of the Student Central administrative team and collaborates with the Director and Executive Director to manage all aspects of the unit’s operation. The Assistant Director provides direct management and supervision of the financial aid advising team within Student Central and collaborates with colleagues in other units across the college to communicate financial aid requirements and opportunities enabling coordinated student service. The Assistant Director maintains an understanding of changing Federal financial aid policies uses that knowledge, in consultation with the Director of Financial Aid, to inform the oversight of financial aid professional judgment procedures and decisions as well as to contribute to the development and operations of systems and procedures used to manage financial aid processing and student communication at the College.
ESSENTIAL FUNCTIONS OF THE JOB
Operational Leadership In collaboration with the Executive Director, the Assistant Director will develop, plan, and implement department goals and provide strategic direction to achieve those goals. Provides leadership and direction in the cost-effective establishment of resources and administrative strategies, policies, and programs for the department. Supervises assigned areas of responsibility and staff by recruiting, hiring, assigning, and delegating tasks, providing direction, resolving work problems, communicating job expectations, training employees, and developing professional growth opportunities. Conducts annual employee evaluations, provides ongoing feedback and coaching and effectively recommends pay increases, promotions, and other personnel actions. Approves leaves and authorizes overtime as appropriate. Building & Maintaining Partnerships Works closely with Student Central employees as well as the Director of Financial aid and employees in Enrollment Services Operations to facilitate effective and efficient interaction between customer service and processing functions and to ensure compliance. Functions as liaison with other college departments to provide information and updates about financial aid policies and practices, facilitate holistic student services, and provide a financial aid and student services perspective on cross-functional projects.
Student Central Financial Aid Program Leadership Schedules and monitors service levels for financial aid advising functions in-person, on the phone, and electronically, as well as for special events in a manner that assures quality service for students and other stakeholders. Provides direct customer service. Interprets and responds to student inquiries, responds to correspondence, counsels students, parents, and others, and provides other requested assistance. Provides guidance to the department. College, and Federal policies and processes. Facilitates student problem resolution. Responds to complaints regarding customer service issues within the department. Conducts best practice benchmarking and relevant internal and external assessments, to determine any potential adjustments to programming. Makes recommendations, implements changes, and promotes and guides innovation as appropriate, in a constantly evolving and forward-moving environment.
Systems Management and Administrative Responsibility
In consultation with the Director of Financial Aid, oversees systems and processes related to Satisfactory Academic Progress (SAP), Unusual Enrollment History (UEH), financial aid professional judgment appeals, and other functions. Stays current with Federal, State, and Institutional financial aid policies and best practices and considers their impact on the College and our students. Provides processing and service suggestions and input as appropriate.
Tracks activities and evaluates their effectiveness, recommends changes and improvements, and works with department leadership and colleagues in other departments to ensure best practices. Maintains confidentiality and completes required documentation and keeps accurate records. Other general duties may include scanning documents; distributing and processing mail; updating and ordering publications/forms and various office supplies.

Partners strategically with Talent Acquisition to ensure the best Diversity, Equity & Inclusion practices are utilized in hiring that results in the hiring and retention of a diverse faculty and staff. Helps to ensure the College meets its responsibilities in identifying problem areas and systemic concerns while reporting complaints alleging discrimination.

OTHER DUTIES & RESPONSIBILITIES Manages multiple assignments of varying complexity and sets priorities while meeting the expectations and needs of internal and external stakeholders. Has the ability to adapt to changing needs of the College and other partnerships. Hours may include working outside of a normal workweek schedule as needed to meet workload demands.

PHYSICAL REQUIREMENTS Reasonable accommodations may be made to enable individuals with disabilities to perform the essential job functions described in this position description. While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into a computer. The employee regularly stands and walks for extended periods of time, and occasionally sits. The employee converses verbally with others in person and by telephone. Vision demands include close, relatively detailed vision when focusing on a computer screen. The employee occasionally lifts or exerts a force of up to 10 pounds when moving files, boxes, and other materials.
MINIMUM QUALIFICATIONS Bachelor’s Degree in Higher Education or a closely related field. Three (3) years of progressively responsible experience in financial aid. Experience in leading people and/or teams.
State Motor Vehicle Operator’s License or demonstrable ability to gain access to work site(s).

An appropriate combination of education, training, coursework, and experience may qualify a candidate.
