Job Summary

The Administrative Assistant is a member of the administrative team for SocialWork@Simmons providing designated administrative support for faculty and administrative staff. This position will serve the entirety of the SW@Simmons program including the academic and field education departments. The ideal candidate will maintain a strong customer focus, foster mutual respect, support Simmons University’s commitment to diversity, practice and promote teamwork, perform independently, maintain confidentiality, adhere to high standards of personal conduct, and maintain and enhance professional job competency.

Essential Functions

Administrative & Operational Support – 60%

Provide general administrative support including, but not limited to, photocopying materials, booking rooms, scheduling meetings, scanning resources, and ordering supplies and equipment;

Prepare and edit documents for internal and external distribution;

Process invoices and expense statements;

Update and maintain the Curriculum Management System (CMS) with enrollment and custom plans of study (CPOS) information;

Update student information in Workday (leaves of absence, program withdrawals, anticipated completion dates, etc.);

Update and disseminate cumulative Wufoo reports, e.g., leave of absence (LOA), administrative withdraws (Wtd), intent to return (ITR);

Create forced registration documents for the field department and assistant registrar;

Support the field department with hiring projections (including SFX);

Create calendars for custom students and update the field education three-term calendars;

Create the teaching term calendars for multiple programs;

Maintain syllabi iterations and communicate changes to our online partner;

Update and maintain master faculty textbook lists;

Compare CMS and Salesforce list of expected students, identifying any discrepancies;

Add SFX students to master field document;

Facilitate and participate in processes to ensure successful operations (e.g., send updated textbook list to bookstore, syllabi maintenance, etc.);

Update Asana tasks list with deadlines for future terms/year;

Maintain master social work faculty list;

Data entry for various systems, including Workday, Salesforce, and Asana;

Assess the quality of data, process, and procedural operations and develop strategies to minimize redundancies, improve efficiencies, and ensure consistency across departments;

Identify issues in operational processes and ensure they are resolved;

Assist with tracking department trends;

Liaise with other departments at Simmons as necessary;

Other duties as assigned.

Communications – 40%

Respond directly to email inquiries and phone calls from students and take appropriate actions (e.g., creating practicum letters, etc.);

Email students entering and returning to field placements with correct registration information (446B, 447A, 447AX, 447B, 447BX);

Send out graduation communications for multiple programs;

Serve as administrative point of contact for vendors and external partner organizations;

Prepare materials for publications and grants;

Distribute course evaluations.

Education

Bachelor’s Degree or equivalent work experience required.

Required Technical Skills

Advanced proficiency with MS Office (Word, Excel and PowerPoint), Google Suite, Zoom, and Adobe Suites;

Experience with Workday and 2SW (learning management system) desired.

Knowledge, Skills & Abilities

Two years of experience in an administrative support position with a focus on customer service (prior experience in higher education preferred);

Excellent verbal and written communication skills;

Exceptional planning and organizational skills;

Ability to take initiative and ownership of projects;

Proven ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact.
