Under the direction of the Director of Nurses and in accordance with AAPHC, Federal and State policies and procedures, the Vaccine Program Coordinator (VPC) is responsible for all vaccine management activities throughout the organization. The VPC will have the responsibility for overseeing all vaccine management activities throughout the organization including overseeing the state funded vaccine program. The VPC must have a complete understanding of the immunization schedules for both the adult and pediatric population. This VPC will carry out all duties with the highest professional standards ensuring quality and safe delivery of vaccine management services. Travel between centers is required.
duties and responsibilities
1. Responsible for ensuring all provider requirements of The Vaccines for Children Program (VFC) are met and followed in all the clinics that receive state funded vaccine supply; will serve as the organization’s point of contact with the state immunization program.2. Designate a back-up vaccine coordinator in each clinic that will be responsible for the management of the vaccines when the VPC is not present or available.3. Ensure the back-up vaccine coordinator(s) is adequately trained in activities related to vaccine management to include storage & handling and vaccine storage equipment.4. Develop and maintain written vaccine and storage handling plan for all centers.5. Develop and maintain written emergency vaccine (retrieval/storage) plan for all centers.6. Responsible for assuring all vaccines are properly stored and properly transported, if needed, per VFC guidelines. Maintains all appropriate vaccine storage and handling documentation for all centers.7. Assists all clinics as needed with monthly ordering of vaccine(s); at a minimum monthly complete a physical inventory count of all vaccines in stock; maintains an inventory of what vaccines are where within the organization.8. Oversee proper receipt and storage of shipments; when available is present at center(s) when vaccine is delivered for immediate process into inventory & GRITS.9. Overseeing the proper storage of vaccines ensuring that the storage units are organized and cleaned, and that stock is rotated to ensure vaccines with shorter expiration dates are used first; VFC vaccine is separate from private vaccine stock.10. Monitor expiration dates: notify VFC within 90 days of vaccines expiring to arrange pick-up/removal.11. Ensure that expired vaccine is promptly removed from the storage units and not administered to patients; expired state funded vaccines to be returned per VFC requirements.12. Ensure that staff are reviewing & recording temperatures, using a certified calibrated thermometer, twice daily recording on log. Review vaccine temperature logs weekly; take immediate action and documentation if temperatures are outside acceptable ranges. Retain temperature logs for three years on site for all centers.13. Makes monthly site visits to all centers to ensure compliance with VFC program and regulations.14. Completes the VFC monthly reports and submits the VFC vaccine order to the VFC program office per their direction; maintains a copy in logbook for all centers.15. Does GRITS auditing to ensure vaccine inventory accuracy.16. Responsible for set up of new centers to ensure proper set up for the vaccines, refrigerators/freezers, alarms, GRITS, VMS, and other requirements. Ensure center meets the VFC State requirements and regulations.17. Attends annual and as assigned training on vaccine management and GRITS. Participates in in-service programs, staff meetings, and nursing skills fair.18. Sends VFC monthly updates on vaccines to all centers, including all VIS information updates; keep logs of monthly VFC updates.19. Responsible with training new staff that will be administering vaccines and maintains the staff training records; Coordinates with the Education Coordinator to create, maintain, and ensure training is proficient.20. Provide comprehensive training and continuing education to staff on the following but not limited to a) on vaccine storage and handling, b) updated recommendations, c) new vaccines added to the center’s inventory; ensure staff participates and completes required training and/or training modules required by the CDC or State Immunization Program.21. Understands HIPAA requirements and conducts clinical/business processes that ensure patient privacy as a priority. Demonstrates patient advocacy which assures patient’s rights to privacy, safety, and confidentiality.22. Other duties as assigned.
QUALIFICATONS
Education: Graduation from an accredited school of nursing.
Work Experience: Clinical experience required in an ambulatory care/primary care setting preferred with previous experience with vaccine management. Thorough knowledge and understanding of routine and emergency vaccine policies and procedures related to vaccine shipments, storage, handling, transport, and inventory management
Certificates & Licenses: Current LPN or RN License and current CPR (BLS) certification required. Valid driver’s license and reliable transportation with valid insurance in accordance with Georgia law required.
Computer Skills: Must have experience working with computers with keyboard skills; experience with using electronic health records is preferred.
Other Skills: Reliability and good attendance; positive work attitude, enthusiastic, confident, outgoing, helpful and committed; ability to perform tasks in a complete and accurate manner; demonstrates timeliness and follow-through on duties and assignments; able to anticipate problems and engages in sound problem solving techniques.
