Responsibilities

Acts as system administrator for FS4U scholarship system. Manages the opening, closing and modifying of scholarships. Grants, modifies or terminates user access. Monitors help desk tickets, responds to inquiries, and provides assistance to users. Ensures data between financial and scholarship systems remain in sync. Assists with cycle management process annually. Conducts audits to validate user access. Prepares system statistics.
Responsible for scholarship administration and support. Responds timely to scholarship inquiries and ensures students meet donor criteria on scholarships awarded. Approves scholarships. Administers Hartley/Overturf scholarships. Coordinates efforts with Financial Aid to ensure proper awarding of scholarships. Collaborates with stewardship team to hold biannual scholarship meetings to train campus community on Foundation scholarship process. Prepares reports as requested.
Assists funds manager with research or responding to fund inquiries to ensure compliance with donor intent and all applicable laws and statutes as they pertain to the oversight of funds management. Collaborates with Foundation and University staff on requested changes involving fund purpose. Completes journal entries to record interfund payables and paydowns for real properties held for resale by the Real Estate Foundation.
Prepares desktop policies, procedures, and related forms. Compiles and prepares information related to audits, tax returns and other fund reporting matters. Assists in preparation of annual fund reports for Challenge Grant and Ringling Museum. Attends meetings pertaining to funds management and scholarships as requested.
Performs special projects as requested. Interacts with Foundation and University personnel to resolve and provide customer service. Serves as backup to General Accounting Associate in the mailroom. Other duties as assigned.

Qualifications

A Bachelor’s degree; or a high school diploma or equivalent and experience equal to four years. (Note: post high-school education and/or experience may substitute at a comparable rate.)
Ability to demonstrate effective customer service skills.
Ability to communicate effectively verbally and in writing.
Ability to establish and maintain effective working relationships.
Ability to perform accurately in a detail oriented environment.
Ability to prioritize, organize and perform multiple work assignments simultaneously.
Ability to compile, review, and reconcile data for accuracy, completeness, and compliance.

Preferred

Knowledge of and ability to interpret and apply related University policies, procedures, principles, and practices.
Knowledge of applicable computer applications and basic computer functions.
Knowledge of electronic data processing as it applies to fiscal and accounting activities.
