position : Executive Administrative Assistant
Position Overview: We are looking for a full-time Executive & Personal Assistant who is incredibly energetic, versatile, confident, and comfortable being the ‘go to’ for all support needs to work closely with our C-Suite in a variety of capacities including business affairs, operations, and client services. The right candidate will be highly organized, detail oriented, anticipatory, and be able to pivot quickly between tasks while keeping the the C-Suite on track for deadlines and projects, prioritizing multiple demands with frequent interruptions in a fast-paced environment.
Primary Duties and Responsibilities:
Manage calendars of appointments and trips for C-Suite, keeping them well informed of upcoming commitments.
Coordinate and attend off-site meetings when necessary. Distribute agendas and/or documents to meeting attendees in advance and ensure venue is prepared.
Anticipate, prioritize, and assist in the preparation of documentation for meetings and presentations.
Screen and route calls and correspondence
Compose correspondence, and coordinate resources across the Company. Handle various administrative details with initiative and good judgment.
Work closely with and serve as backup to Team Lead in their absence.
Other administrative tasks as required.
Knowledge of general management principles.
Knowledge of organizational policies, procedures, and systems.
Ability to work in a fast paced, high stress environment.
Strong interpersonal, communication, and organizational skills.
High level of digital literacy and technical aptitude
Two (2)+ year(s) providing executive support in business or financial operations, residential or commercial real estate, or equivalent
Outstanding work ethic, initiative, and motivation.
Exceptional time management and problem-solving skills with the ability to prioritize work effectively while balancing multiple demands, tasks, projects, meeting deadlines and requests within fast-paced environment and schedules.
Excellent client service skills
Strategic thinker consistently demonstrating clear and concise written, verbal, and interpersonal skills.
Ability to interact with all levels of the organization
Punctual & dependable; flexible and adaptable
Tremendous attention to detail and are highly organized. We are looking for someone who takes extreme pride in having everything completely buttoned up.
Proficient with accounting processes and procedures and with accurate algebraic computations and applications.
Must be able to work independently and as a team player
Empathy and great active listening skills
Proficient in Microsoft Office Suite
Proficient knowledge of relevant technology; digital literacy & technical aptitude
Ability to travel locally
