Position Overview
The Fleet Manager will be responsible for managing the organization’s Auto, Truck, and Equipment. This includes: Pro-active preventative and corrective maintenance, triaging work orders, equipment repairs, repair vs replacement analysis, sourcing and procurement of parts & equipment, quality inspections, inventory control, asset management, warehouse management, DOT and safety compliance, vendor contracts, fleet financials / cost optimization, fuel strategy, and management reporting. The Fleet Manager will supervise mechanics in our internal shop, oversee a fleet department of over 100+ vehicles, trailers, utility vehicles, and ensure that internal service level agreements are met or exceeded. This individual will be a key member of the leadership team and the role is critical to the future growth and success of the organization. The position supports the other members of the leadership team and drives the company’s best practices with regards to fleet strategy, equipment maintenance, capital expenditures and departmental strategy and budgeting.
Essential Job Functions

Plans, directs, and monitors pro-active and preventive maintenance and repair programs for all business units. Promotes proper and intelligent diagnostic practices to minimize the cost of repairs and equipment down-time

Develops repair vs replacement cost benefit scenarios and systematic fleet and equipment replacement cycle to achieve the most cost-effective operating model

Purchases and dispositions vehicles and equipment

Development and implementation of fleet/transportation operational goals, best practices, standard operating procedures, service level agreements, KPI’s, policies and procedures

Uses Data and Analytics, creates Management Reports to improve the departments operations, productivity and management oversight

Ensures operations are compliant with federal, state and company requirements (driver qualification files, vehicle safety, investigations of driver complaints, internal SOPs) & providing coaching and feedback on compliance requirements

Ensures that all vehicles and equipment are well maintained to positively represent the organizations brand and image

Directs and supervises the shop and is responsible for overall work performance, while ensuring employees observe work rules and safety practices. Maintain the shop in a safe, clean, & productive environment

Maintain accurate records and reporting for fleet and equipment including: maintenance calendars and logs, tag and registration renewals, additions and removals to insurance program, permit record keeping

Conducts investigations revolving injuries, accidents, vehicle & equipment damages, driver complaints and produces comprehensive reports

Fiscally responsible in managing budget, inventory control, purchasing and parts acquisition, utilization of outsourced shops, and compensation (overtime)

Assures timely and assertive responses to inspection and driver findings, working closely with company managers

Routinely reviews the fleet’s fuel and GPS program to reduce fuel cost, track non-compliance, and improve operations

Routinely audits and manages the authorization and allocation of information on the company cellphone management program.

Completes special projects as assigned.

Qualifications:

Must be Bi-lingual (English & Spanish)

Experience working in a very fast paced and high energy work environment and serving demanding internal clients. Has an embedded sense of urgency in their work ethic. Ability to work well within a privately held company.

Strong leadership skills with a servant-leader mentality

The successful candidate will possess a minimum of five years of experience in a mid-large size fleet management services and predictive maintenance management program

Strong mechanical/maintenance background and experience in automotive/heavy equipment repairs with experience with car, truck, trailer, utility vehicles, and equipment maintenance programs

Experience with state, federal and local regulations related to Fleet safety and permits, as well as general knowledge Federal, State Law, NHTSA, and OSHA requirements

Solid familiarity with specification, procurement, financing, maintenance, and disposition of fleet vehicles

Ability to read, analyze and interpret technical procedures, equipment manuals, and governmental regulations; as well as write reports, business correspondence, and procedural manuals and effectively present information to managers, clients and customers

Knowledge with transportation technologies and software including maintenance systems, GPS, telematics, fuel cards, Computerized Maintenance Management Software (CMMS)

Ability to analyze problems, identify alternative solutions, project consequences of proposed actions, and implement recommendations and to manage multiple projects, priorities, and deadlines.

Must possess a clean and valid state of Florida Driver’s License.

Possesses excellent written and verbal communication skills in dealing with other departments and personnel

Proficiency with the Microsoft Office suite – e.g., Word, Excel, PowerPoint, Teams and

Must be able to lift 50 pounds without assistance of tools or other personnel, push and pull materials and equipment repeatedly throughout the workday

A bachelor’s degree is preferred but a combination of education and experience will be considered.
